The Arizona Department of Homeland Security is seeking a proactive and organized Project Coordinator to support our team in managing grant-funded projects and associated tasks. This role plays a critical part in ensuring project success by tracking data, coordinating meetings, facilitating communications, and maintaining project documentation. The Project Coordinator will primarily work remotely, with some required in-office days. Having experience in project management tools like Smartsheets, Jira, Confluence, and Google Suite are preferred.
Skills Required:
Grant Fund Coordination: Assist in managing grant-funded projects by tracking spending, milestones, and outcomes.
Data Management: Maintain accurate project records using tools like Smartsheets, Jira, and Confluence.
Meeting Coordination: Schedule, organize, and help host virtual and in-person project meetings. Prepare agendas and follow-up reports.
Communications: Send regular updates, reminders, and reports via email to internal and external stakeholders using Google Suite.
Documentation & Reporting: Compile and prepare documentation for grant compliance and reporting requirements.
Collaboration: Work closely with project managers, finance teams, and other departments to ensure smooth project execution.
Organization skills: Ability to prioritize and manage multiple tasks
Time Management: Efficient in scheduling, tracking deadlines, and project tracking
Skills Preferred:
Advanced Project Management Tools: Familiarity with advanced features of project management software.
Conflict Resolution: Experience resolving conflicts within teams.
Risk Management: Ability to identify and mitigate potential project risks.
Data Analysis: Ability to interpret project data and reports for decision-making.
Presentation Skills: Capability to present project updates and reports to stakeholders.
Experience Required:
1–2 Years of Project Coordination: Experience in a project coordinator role, where the candidate was responsible for supporting or managing project timelines, resources, and stakeholders.
Experience with Project Management Software: Basic familiarity with tools like Microsoft Project, Smartsheet, or similar software.
Team Collaboration: Demonstrated ability to work with cross-functional teams and departments.
Experience Preferred:
3-5 Years in Project Management:
Additional experience managing small to medium-sized projects from start to finish.
Prior experience in IT Familiarity with Agile or other specific project management methodologies (Scrum, Lean, etc.).
Education Required:
Bachelor’s Degree in Business Administration, Project Management, or a related field
Education Preferred:
Bachelor’s Degree with Focus on Project Management or operations Certified Associate in Project Management (CAPM) Project Management Professional (PMP)
